Renter shall have the use of the space within the hours reserved on this form. In the interest of our tenants and neighbors, Boughton Place asks that guests will be quiet after 10 pm. If you need the use of our tables, we ask that you bring your own table cover.
PAYMENT, DEPOSIT & CANCELLATION POLICY
Theater rental at Boughton Place requires a 30% security deposit to secure the agreed date(s) due within seven (7) days of receiving this signed agreement, which will be applied toward the total balance. Final payment is due two weeks prior to your arrival. Cancellations within fourteen (14) days of the event will forfeit the 30% deposit. Any payments received fifteen (15) days after the program will be subject to a $35 late fee (per month). There is a $35 charge due to payments with insufficient funds.
Any postponement of any event shall be considered as a cancellation under this clause. Overnight room rentals cancelled within ten (10) days of expected arrival will not be refunded, if cancelled before the ten (10) day period, a full refund will be made.
Boughton Place may cancel the Booking:
· if the booking might damage the reputation of Boughton Place.
· if Boughton Place becomes aware of any deterioration in the client's financial situation such that Boughton Place reasonably considers the client may not be able to fulfil its material obligations under the Agreement; or if the Client fails to pay any sum when due.
THIRD PARTY
Prior consent of Boughton Place must be obtained for any entertainment or services contracted for the event by the client, all of which must comply with any statutory codes and regulations. The client shall indemnify Boughton Place for any loss or damage resulting from the acts or omissions of such third-party suppliers.
STAFF
Under normal circumstances, the site is not staffed. If staff are required for a workshop, there will be an additional fee of $25/hour per staff person. Please consult with us beforehand to describe and pre-arrange your needs.
HEATING AND AIR CONDITIONING
Each room in the building has individual temperature controls. It is very important that you program each thermostat properly.
Main Theater: To have the programmable thermostat set for your workshop, please let us know the hours the theater will be in use during your stay. The theater temperature can be manually raised or lowered as needed by the workshop leader following the directions that are posted on the wall. If you do manually adjust, please be sure to press the button on the thermostat that says "use schedule" to put it back on schedule at the end of the day.
Living/Meeting Room: There is a manual thermostat on the wall next to the fire alarm panel. If adjusted, please return to a setting of 55 degrees before you leave.
Large Bedroom Upstairs: There is a manual thermostat located on the wall. If adjusted, please return to a setting of 55 degrees when you leave.
Bedroom Behind Balcony: There is a temperature dial located on the baseboard heater. Please follow the directions posted on the wall to your left as you enter the room.
CLEANING
Please be sure to return any furniture that has been moved to its original location including any use of Boughton Place’s chairs/tables. After using the kitchen, make sure that all perishable foods are removed from the refrigerator. Coffee pots, dishes, pots, and silverware should be cleaned and put away and counter tops wiped clean. Garbage from each room should be placed in the dumpster at the end of the main parking lot. Please separate recyclables and place them in bins near the dumpster. Place dirty towels, dishcloths, and bed linens in the hamper upstairs. If the site is messier beyond normal wear and tear, a $100 surcharge will be subtracted from your deposit.
DAMAGES
The client is responsible for any damage that occurs during their event. This includes but is not limited to damage caused by program participants, sleepovers, and third-party vendors. Please notify Boughton Place immediately upon notice of damage.
PETS
Service pets are welcome with proper certification, please notify Boughton Place of any overnight guests with service pets ASAP.
CANDLES/INCENSE
Absolutely NO candles, incense, smoking, vaping, or any open flame allowed! There will be a $350.00 fine if evidence of such actions is discovered.
ADDITIONAL INFORMATION
Make sure all windows are closed, all doors locked, air conditioners turned off in hot weather, heat turned down to 55 degrees in cold weather and a/c turned up to 82 in cold weather, and all separate thermostats set appropriately.
A list of important phone numbers is posted in the kitchen along with a flashlight and first aid kit for emergencies.
HOLD HARMLESS AGREEMENT:
I and my group agree to indemnify and hold harmless and defend Boughton Place, its officers, agents, servants, and employees from any and all claims resulting from injuries, illnesses, damages and losses sustained by me or my group as a result of the use of Boughton Place, its buildings, and its surrounding grounds. All renters of Boughton Place are required to provide us with a certificate of insurance for a minimum of one million dollars naming Boughton Place and its board of directors as additional insured.
